ServiceMax Integration - Connecting to SAP and More...

Did you know that approximately 30% of the time and effort spent on an average implementation project is spent on integration? Of course, not every ServiceMax implementation calls for system integration, but if required, it can be a huge burden for IT organizations. Integration is even more rigorous when multiple back-end systems and global roll-outs are involved. Of course, deploying middleware for your project is a good option to comply with corporate standards, assist with data mapping, perform data transformations and automate the entire process. But, for many who may only need to integrate a couple of processes like work order billing, the costs of middleware may outweigh the benefits.

At ServiceMax, we want to make integrating to backend systems like SAP ERP and Quickbooks more accessible and less time consuming for our customers. Last year, we introduced our ServiceMax Linx series of product-based integrations. Now, you can quickly integrate ServiceMax to Quickbooks for timely, automated billing.

This year, we’re taking another step toward simplifying integration with our first technical guide on ServiceMax integration. Along with other guides to be published in the upcoming months, ServiceMax Integration to SAP, provides technical details on common integration scenarios including, interfaces and table-by-table field mappings. The guide can assist in launching your ServiceMax to SAP integration project with or without a middleware option and makes for a good start to other process documentation you will need during your project.

Micki,

Here are some scenarios I would be interested

-Best practices on integrating Pricebooks From Oracle -> ServiceMax.  I noticed most customers who integrate with an ERP system do not use the ServiceMax Pricebooks (including applicable products) due to the complications of integration.  Any suggestions here would be helpful.

-Contracts .  Same scenario, it seems many customers who integrate contracts lose out on some of the great ServiceMax contracts functionality. Any best practices on integrated the critical aspects of contracts in ServiceMax would be helpful (Included Services, PM Schedules, etc.)

-Integration of Financial data back down to Oracle for invoicing. 

Outside of Oracle Integration, best practices on GPS integration would be great. Having a real-time view on the dispatch console where technicians are located is very helpful.

Great question. We've done numerous integrations to Oracle db's leverage our ODBC and JDBC connectors. We can also support any of your customers integration requirements between ServiceMAX and JDE, EBS, Peoplesoft, and Siebel.

That's great Gary.  Which Oracle system(s) is your organization using?  Could you share with us some examples of the integration? e.g. are you using any of the integration to create records in one system based on a save from another, which system are you using as a customer master, are you integrating your inventory and parts inventory)

Our Japan headquarters is EBS to do straight through integration of all their products, parts and customers. Nothing incredibly sophisticated there. In our US facility, there are approx. 1,000 tables in the 9 ERP system modules that TMS uses. The ServiceMax interface collects data from 24 tables across 5 of the ERP modules, and organizes the data into 6 intermediate tables for uploading by Jitterbit to ServiceMax. Data sets that are uploaded are:

Nightly upload:

Account Header

Account Addresses

Location Header

Location Addresses

Installed Products

Warranties

3 Times / Hr. during the working day:

Products

Product Cost

Product List Price

Customer Credit Hold status.

Again, nothing too fancy that would trigger an upsert job. However, Any new parts that are entered into the ERP are immediately integrated into SVMX. Although some might think that the system of record for customers and installed products would be the ERP, I find that the data is much cleaner and more up-to-date in SVMX.

Informatica is excited to join the ServiceMax Marketplace to help joint customers with ERP integration.  With the leading breadth and depth across the ERP world, many of the ServiceMax use cases are supported through out of the box integration templates.

As discussed in another ServiceMax forum,  beware of overpromises here, ERP integration requires not only "connecting" but a significant investment in understanding the structure, metadata, APIs of the ERP world.

Just had another thought!  If we were to grow out of just using ServiceMax to manage our stock, which 3rd party product integrates the best (easiest) with SM?

Sage has come up a couple of times now, they have a "multi-product" and it would help to understand what platform you're seeing.
