Easiest way to assign an Event to multiple Users?

Jump to solution

Hi Guys, sometimes dispatchers would like to setup a meeting with all technicians(50). Is there any way to create the meeting as an even and assign to all the technicians in the dispatch console calendar?

Thanks,

Srikanth.

If you can create a work order for this purpose, you can achieve your requirement using Manage Multiple Assignments feature in Dispatch Console. Following are the steps:

  1. Set the work order's Preferred Start Time to the Start Date Time of the meeting, and Service Duration (in Seconds) to the duration of the meeting.
  2. In Dispatch Console, click the Manage Multiple Assignments context menu option for the work order.
  3. Click the name of the Service Team in the Team - Tech tree.

This will prompt you to confirm that you want to add all the displayed technicians, and then add an event for each of the displayed technicians under that service team.

Meenakshi, but how can we track multiple technicians on the work order because we can be able to select only one technician as owner and also the technician field will be filled with the owner? Is there any way to store all the assigned technicians on the record?

Srikanth,

The one-to-many relationship between Work Order and Technicians is not stored in Work Order out of the box. You will need to use some customization such as an Event trigger to store this information in a Work Order field.

Hey Guys,

You could use either Salesforce or ServiceMax events on the Work Order to Manage Multiple Assignments and we have this use case being as we always more than 10 Associate Technicians for each long term work order.Once the Dispatcher assigns a Work Order using Manage Multiple Technician Function,an event is created against the Technician and now it is time to create a Trigger to update the Ownership of the event with Technician Salesforce user.
