The use case

Many of our customers are involved in installing assets which may often require multiple tasks and dependencies between those tasks.  These are often planned by Project Planners in various tools such as MS Projects, Smartsheets, and Excel.  Once the Planner completes his/her planning, it is often passed onto an Installation Manager.  Today, there is not an easy mechanism for the Installation Manager to easily view these tasks, assign each of these tasks to a individual Resources (e.g. Technicians, Engineers) and then have the ability to monitor the state of these scheduled tasks.  Project Scheduling in Service Board aims to resolve this pain point.

We see the project lifecycle as being broken down into three phases: the demand, the execution and the completion with each requiring a different set of personas with differing responsibilities.  The Project Scheduling feature in Service Board focuses on the Execution phase which ensures visibility of tasks, assign the resources to those tasks so that work can be completed in a timely manner.  


Here is high level data flow of how this can be accomplished in Service Board: 



Once your project has been imported into Service Board, you are able to view the details of the Project task and then eventually assign it in Service Board.  The Project Scheduling view is unique in that it provides you a view of both the Project Schedule as well as your available Resources.  Once each task is completed by your Resource, you can easily monitor the completion percentage here as well. 


Design Time Highlights and Key Takeaways

In the Design Time session on January 7th, we polled you and here are a few key takeaways: 

  • 85% found of you found this flow to be useful for your use cases.
  • Although a good number use MS Projects, there is even larger number that use Smartsheets and/or Excel. CSV import is on the roadmap to support this. 
  • An overwhelming number of you indicated that you would like to initiate a grouping or project from existing Salesforce Work Orders. We have this on the roadmap and this is an excellent validation. 
  • Most of you assign tasks to resources over a period of time, not all at once. Partial Publish is on the roadmap to support this. 
  • Once the project is underway, the most important part of monitoring is knowing whether the project is on track for most of you. Second was knowing whether the resource had changed for a given task.
